Executive Council of the DFMS

Records of the proceedings and directly supervised programs of the entities under the management of the Executive Council. Records include proceedings, minutes, reports, documents, governance records, and some administrative records. With the consolidation of executive powers under the primate after 1973, staff offices typically associated with the National/Executive Council were placed under the authority of the Presiding Bishop acting as mission program or administrative entities. These staff offices exist as a separate categories of mission program or in their administrative capacity with the DFMS.

Financial Administration

Generally includes the business and operational records of the treasurer or chief financial office, the controller, and other unit directors responsible for the administration of financial assets and reporting responsibilities, for control and reporting of gifts, and other asset-related duties assigned by General Convention or Executive Council.

Foreign Mission Fields and Overseas Missionary Program and Personnel

Records documenting the operation and programs carried out during the period of the Board of Missions and loosely reporting to and/or funded by the Board of National Council in an official capacity. Some Board of Missions fonds or records may be found with a continuing body or function of a National Council successor unit, or with a continuing Executive Council entity.

General Convention Sessions

Records and official papers of the legislative sessions in joint gathering, including the legislative and special committee records (minutes, documents and other papers, including sanctioned audio, video, and electronic recordings of the proceedings.

Governing Bodies of General Convention

Records of official canonical standing committees and commissions, boards, joint house committees, task groups, and similar authorized ad hoc bodies acting in the interim and at the direction of the General Convention; may include records either generated directly by the interim body or collected as part of the central files of the Secretariat. The category does not include the separate category of Executive Council, which also acts as the board of directors for the DFMS and may act in the place of (rather at the direction of) the General Convention.

House of Bishops

Pastoral letters, communication to the Church, records of the Secretary of the House including rolls, registers and Interim Meeting records, and House committee records. (Does not include Presiding Bishop's administrative records on the House's operation, or records pertaining directly to the triennial session.)

House of Deputies

Official Papers of the President's office, the Secretary of the House, committees of the House (e.g. the State of the Church), publications and communications generated by and within the House not pertaining directly to the triennial session.

Immigration and Refugee Ministries

This class is designated for records of the Church's work in the mid to late twentieth century with immigrants and refugees, including policy advocacy, refugee resettlement (Episcopal Migration Ministries), issue awareness, recruitment of volunteers, social network development, and fund raising. Institutional Development and Fund Raising

Records typically created in the planning and cultivation of sources for fund raising such as capital campaigns, annual campaigns, major gifts development, sponsored grants and prospects for planned giving. (See also FA 06 Institutional Development for records of financial accountability.)
